Precision Film Systems LLC ("Precision Film Systems", "we", "us") operates the public website at precisionfilmsystems.com and the application at app.precisionfilmsystems.com, including the installed web app, generated documents, public estimate packets, support, and related services (collectively, the "Service"). This Privacy Policy explains what information we handle, why we use it, and the choices available to you.
Shops and installers may enter information about their customers, workers, job sites, or other people. In that situation, Precision Film Systems processes the information to provide the Service to the account holder, and the account holder remains responsible for its own notices, permissions, customer relationship, and lawful use of that information.
Precision Film Systems does not sell personal information. We disclose information to service providers and others only as described in this policy or as otherwise authorized or required by law.
Information we collect
Account, profile, and authentication information
- Name, email address, company, phone number, profile details, account identifiers, plan, status, and account timestamps.
- Password hashes, password-reset records, session and device identifiers, login and lockout events, IP address, user-agent, and related security information. Precision Film Systems does not store plain-text passwords.
- Administrative or support notes, export activity, audited support access, and account suspension or deletion status where applicable.
Customer, job, project, and planning information
- Customer and billing contacts, phone numbers, email addresses, job-site and billing addresses, access details, parking information, site conditions, and notes.
- Window measurements, dimensions, quantities, groups, scopes, film selections, catalog information, manufacturers, roll widths, glass and installation details, and compatibility or warranty notes.
- Pricing defaults, costs, prices, margins, discounts, taxes, removal or attachment charges, deposits, add-ons, estimate and invoice identifiers, totals, statuses, customer terms, warranties, and document defaults.
- Saved jobs, revisions, recovery drafts, conflicts, cut plan inputs and results, diagrams, linear footage, material usage, waste, and related output metadata.
Photos, files, generated outputs, and public estimate activity
- Uploaded photos and files, filenames, captions, file type and size, storage identifiers, upload status, and timestamps.
- Generated cut plans, diagrams, PDFs, job packets, estimate packets, cover photos, public links, and encrypted packet snapshots.
- Public-link status, expiration or revocation information, access counts, and last-access time.
- When an estimate recipient responds: recipient name, optional comment, accept or decline decision, accepted-terms indicator, agreement text or context, timestamp, browser or user-agent, and a hashed IP signal used as technical evidence.
Usage, diagnostics, device, and support information
- Page views and public-site interactions, referring or campaign information, browser and device details, and approximate location derived from IP address.
- Application workflow events, session sequence, feature actions, active or idle time, app and browser version, request status and duration, validation outcomes, and identifiers tied to users, jobs, requests, optimizations, or cut plans.
- Optimization summaries such as planning mode, row count, film width, linear feet, efficiency or waste, runtime, and content hashes, plus limited encrypted diagnostic input or output when configured.
- Scrubbed error details, security reports, logs, support messages, bug-report fields, and attachments. If you choose to include diagnostics with a bug report, the report may include recent errors, page URL, user-agent, account context, and optimization context.
Precision Film Systems does not use session replay or continuous screen recording for the current Service.
Billing, payment separation, and entitlement information
Paddle is the Merchant of Record for Precision Film Systems subscriptions and Flex purchases. Paddle handles checkout, payment methods, applicable taxes, invoices, receipts, and related billing communications. Precision Film Systems does not receive or store full payment card numbers.
We receive the account, customer, transaction, subscription, product, price, trial or discount, status, renewal, scheduled-change, and other billing metadata needed to create an account, provision access, reconcile entitlements, prevent duplicate grants, and provide support. An account may be created before Paddle checkout is completed, so pending or abandoned checkout status may also be retained.
Demo information
For a registered demo, we may process account and eligibility information, IP address, temporary job workspace, usage state, completion, expiration, and conversion information. A one-way email eligibility signal may be retained for fraud and repeat-demo prevention even if other demo information is deleted, subject to applicable law.
Website contact, waitlist, and analytics information
- The public website uses Google Analytics to understand page use, referrals, devices, and interactions. Analytics configuration and available preference controls may be adjusted as setup is completed.
- Google Fonts and ordinary website hosting requests may receive IP address, browser, and request information needed to deliver the page.
- The contact form may collect name, email, optional company and phone, topic, message, IP address, user-agent, submission time, and technical information used to limit spam, automated submissions, and other abuse.
- The resource recommendation form may collect submitter contact and organization information, relationship and disclosure details, a resource title, publisher, type, original source URL, explanation, review context, IP address, user-agent, submission time, and anti-abuse information.
- The beta waitlist may collect name, email, optional company and phone, role, shop size, product interest, notes, source, consent, and provider-list status. Waitlist updates are separate from required account or billing messages.
Sun Map, address matching, imagery, and navigation
When you choose the related feature, an entered U.S. job address may be sent to the U.S. Census Geocoder for address matching; coordinates and request information may be used with Esri World Imagery; and a destination may be sent to Apple Maps, Google Maps, or Waze when you choose an external navigation link. Precision Film Systems may retain normalized address, coordinates, address hashes, match information, provider, timestamps, and cache-use information needed to operate the feature.
Connected services
Optional calendar, accounting, CRM, payment, or field-service integrations are not part of the current launch experience. If an integration is later made available and you choose to connect it, we may process the provider account information, authorization tokens, approved scopes, connection status, and records needed for the feature. We will update this policy or provide additional notice when appropriate before a new integration is enabled.
How we use information
- Create and secure accounts, sessions, demos, and device access.
- Save and restore jobs, synchronize revisions, resolve conflicts, generate cut plans and diagrams, and create estimates, PDFs, job packets, and customer-facing links.
- Host photos and files, publish estimate links, and record recipient decisions.
- Run checkout, manage subscriptions, billing status, entitlements, cut plan balances, usage limits, plan changes, and fraud or duplicate-credit controls.
- Provide password reset, transactional and service communications, and Paddle-owned billing communications.
- Answer contact and support requests and investigate bug reports.
- Measure workflow performance, improve reliability, troubleshoot errors, and develop or improve the Service.
- Send product guidance, lifecycle, waitlist, or marketing messages only where allowed and with available unsubscribe or opt-out controls. Not every possible message is active.
- Provide user-requested address matching, imagery, and external navigation.
- Prevent abuse, fraud, security incidents, and violations of our Terms, and meet tax, accounting, dispute, safety, and legal obligations.
How we share information
We share information only as reasonably needed for the purposes above:
- Hosting, database, storage, backup, and monitoring providers that operate the website, application, databases, private photo and document storage, backups, and service monitoring.
- Email and notification providers, including Brevo where configured, for password reset, support, website contact delivery, waitlist communication, and other authorized messages.
- Paddle for Precision Film Systems checkout, billing, tax, invoices, receipts, subscriptions, Flex purchases, and entitlement events.
- Google Analytics for public website analytics and service providers used to limit contact-form spam, automated submissions, and other abuse.
- U.S. Census Geocoder, Esri, Apple Maps, Google Maps, and Waze when you use the related address, imagery, or navigation feature.
- A connected integration provider only if a supported integration is made available and you authorize the connection.
- Authorities, advisers, or transaction participants when reasonably necessary to comply with law, respond to legal process, protect rights or safety, investigate fraud or security issues, handle a dispute, or complete a business transaction subject to appropriate safeguards.
Precision Film Systems does not use Stripe for installer-customer payment collection in the current launch experience.
Data retention
- Accounts, jobs, settings, and related content: retained while the account is active or as needed to provide the Service, resolve support issues, or complete an authorized export, deletion, or account action.
- Photos, uploaded files, generated outputs, estimate packets, and decisions: retained as needed for the feature and account unless deleted, revoked, expired, or removed under an account action. Link expiration does not necessarily delete the underlying packet or response record.
- Billing, entitlement, tax, fraud, security, and dispute records: retained as reasonably needed for accounting, reconciliation, legal obligations, chargebacks, safety, and enforcement.
- Logs, workflow telemetry, diagnostics, optimization details, bug reports, and attachments: retained for limited operational periods that vary by record type and configuration, then deleted or de-identified when no longer needed, subject to legal or security holds.
- Browser storage: remains until the app clears it, you clear site data, the browser evicts it, or the applicable item expires.
Backups and recovery copies may persist temporarily after information is deleted from active systems. Some limited metadata or tombstone records may remain to prevent restoration errors, enforce account or demo rules, document a dispute, or meet legal and security needs.
Cookies, local storage, and the installed web app
The Service uses cookies and browser storage for authentication, session security, preferences, recovery, app functionality, analytics, and installed-app behavior. Local or session storage may contain device labels, settings, job or estimate drafts, recovery state, document handoff information, and user-interface state. IndexedDB may temporarily store job-photo recovery data. The service worker is designed to cache public or static application assets and an offline page rather than authenticated customer records or payment pages.

Your choices and rights
- Update available account and profile information in the Service or contact support for help.
- Use the unsubscribe link in non-essential email or contact us to opt out of optional product or marketing messages. Essential service, security, and billing messages may still be sent.
- Request access, correction, export, or deletion where applicable by using the contact form. We may need to verify your identity and may retain records that cannot lawfully or safely be deleted.
- Disconnect an optional third-party integration if and when that integration is available.
- Manage cookies and browser storage through your browser or device settings. Disabling essential cookies or storage may prevent login, recovery, uploads, or other app features from working.
Additional privacy rights may apply depending on where you live. Precision Film Systems will respond to verified requests as required by applicable law and will not discriminate for exercising a protected privacy right.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. Different kinds of information and services involve different risks, and no transmission, storage, or security method is completely secure. If you believe information or an account may have been compromised, please use the contact form and do not include passwords, full payment-card information, or unnecessary customer data.
Children
The Service is intended for business users and is not directed to children. Do not submit children's personal information unless it is lawful, necessary for a legitimate job purpose, and handled with all required permissions and protections.
International processing
If you use the Service outside the United States, information may be processed in the United States and in other locations where our providers operate, subject to applicable legal requirements.
Changes to this policy
We may update this Privacy Policy as the Service, providers, or legal requirements change. We will post the updated policy and revise the date above. Material changes may also be communicated through the Service or by email where appropriate.
